Last Updated: August 6, 2026

ShimoDocs respects your privacy and is committed to protecting your personal information and business data. This Privacy Policy explains how ShimoDocs collects, uses, stores, shares, and protects information when you visit our website, contact us, or use our private cloud document collaboration platform.

ShimoDocs is designed for enterprise teams that need a Google Docs-style collaboration experience in their own private environment, with greater control over deployment, permissions, and business data.

1. Information We Collect

We may collect the following types of information:

Information you provide to us
When you contact us, request a demo, submit a form, or communicate with our team, we may collect your name, company name, job title, email address, phone number, and any other information you choose to provide.

Account and business information
If your organization uses ShimoDocs, we may process account-related information such as user names, email addresses, organization details, roles, permissions, and administrative settings.

Product usage information
Depending on the deployment model and configuration, we may collect limited usage and technical information to support product performance, troubleshooting, security, and service improvement. This may include log data, device information, browser type, access time, feature usage, and error reports.

Customer content
ShimoDocs enables users to create, edit, and collaborate on documents, sheets, presentations, forms, tables, and team knowledge. Customer content belongs to the customer organization. In private cloud deployments, customer content is stored and managed within the customer’s private environment according to the agreed deployment architecture.

2. How We Use Information

We use information to:

  • Provide, operate, and maintain ShimoDocs services

  • Respond to inquiries, demo requests, and support requests

  • Configure enterprise accounts, permissions, and administrative controls

  • Improve product performance, reliability, and user experience

  • Monitor security, prevent misuse, and troubleshoot technical issues

  • Communicate product updates, service information, and business notices

  • Comply with legal, contractual, and regulatory obligations

We do not sell customer content or personal information.

3. Customer Data and Private Deployment

ShimoDocs is built for organizations that need stronger control over business data. For private cloud deployments, the customer’s documents and collaboration data are hosted in the customer’s own private environment or another dedicated environment agreed with the customer.

Depending on the deployment and service arrangement, ShimoDocs may have limited access to certain technical information for support, maintenance, troubleshooting, or product improvement. Any such access is handled according to contractual agreements, customer instructions, and applicable security requirements.

Customer organizations are responsible for managing their users, permissions, internal access policies, and lawful use of the platform.

4. How We Share Information

We may share information only in limited circumstances:

With service providers
We may work with trusted service providers that help us operate our website, communicate with customers, provide support, analyze site performance, or deliver business services. These providers are authorized to use information only as needed to provide services to us.

With customer administrators
If you use ShimoDocs through your organization, your organization’s administrators may access and manage your account, permissions, activity, and content according to the organization’s internal policies.

For legal or compliance reasons
We may disclose information if required by law, regulation, legal process, or government request, or when necessary to protect the rights, safety, and security of ShimoDocs, our users, or others.

In connection with business changes
If ShimoDocs is involved in a merger, acquisition, financing, restructuring, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality protections.

5. Data Security

We use reasonable technical, organizational, and administrative measures to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

For enterprise deployments, security controls may include access permissions, administrative controls, authentication integration, audit-related capabilities, and deployment-level protections depending on the customer’s configuration.

No system can guarantee absolute security. Customers should also maintain appropriate internal security policies, user access controls, endpoint protections, and backup practices.

6. Data Retention

We retain personal information only for as long as necessary to provide services, fulfill business purposes, comply with legal obligations, resolve disputes, and enforce agreements.

For customer content in private deployments, retention is generally controlled by the customer organization according to its own policies and deployment configuration.

7. International Data Transfers

ShimoDocs may process business contact information or website-related data in locations outside your country or region. When required, we take appropriate measures to protect transferred information in accordance with applicable data protection laws.

For private cloud deployments, data residency and hosting arrangements depend on the customer’s selected deployment model and contractual agreement.

8. Your Rights and Choices

Depending on your location and applicable law, you may have rights to access, correct, delete, restrict, or object to the processing of your personal information.

If you use ShimoDocs through your employer or organization, please contact your organization’s administrator first, as your account and content may be managed by that organization.
